Write the acceptance criteria before requesting the vehicle. Include the heaviest routine load, items needing mechanical handling, the number of occupants and any equipment that draws power. Identify whether the installer or the supplying dealer is responsible for each part. This prevents a complete-looking base-vehicle description from masking unfinished work that still needs approval and funding.

Choose floor length, roof and access from a working drawing

Toyota’s UK documents give panel load floors of 3,120mm for L2, 3,705mm for L3 and 4,070mm for L4. H2 and H3 internal height references are 1,932mm and 2,172mm, with a maximum deck width of 1,870mm. These are named panel-body measurements. They do not describe a separately built box, refrigerated installation or tipper body.

The L3H2 reference has 13m³ of space, while L4H3 reaches 17m³. Decide whether the constraint is volume, floor length or mass. Lightweight bulky goods can use a taller body effectively; dense materials may use the carrying allowance before filling the compartment. Include the driver’s access and the order in which goods leave the vehicle.

For conversions, ask for a drawing showing the finished internal dimensions and door openings. Record any reduction caused by insulation, bulkheads, steps or storage. Check the overall height with roof equipment and the rear overhang at the depot. A body code should lead to a measurable installation, not replace one.

Diesel, electric and Revised labels in the IVF catalogue

The live catalogue capture contains 28 Proace Max rows. They span Icon diesel manual and automatic descriptions, electric descriptions, several panel sizes and chassis-based bodies. Many entries appear with and without the word Revised. That distinction needs a model-year and specification explanation; it should not be read as a separate type of finished working body.

Toyota UK lists both powertrains on its current Proace Max media page. The linked press technical sheet dates from the original launch programme, while the sales brochure contains some different electric technical details. For that reason, this page does not combine a launch-era charging time with a current catalogue motor label and present the result as one verified derivative.

Have IVF request the current specification for the exact vehicle being quoted. The agreement should identify body, powertrain, transmission, gross weight and any revision. Availability, delivery timing and conversion completion remain matters for the actual supply proposal, not consequences of a row appearing online.

Proace Max Electric needs a depot plan and a weight decision

Toyota’s UK material describes a 110kWh electric range, but the documents examined differ in motor labelling, charging window and some battery detail. Do not use a single advertised range or charging duration to schedule the business until the supplied model year and body have been reconciled. The manufacturer benchmark is not evidence of a loaded winter route.

Build the energy plan from the longest normal day, time parked at the depot, motorway proportion, load and any auxiliary equipment. Ask for a trial on that route and agree the reserve needed for diversions. Check charger compatibility, site power and the number of vehicles needing energy at the same time.

The original UK technical table identifies electric panel references at 4,250kg. Their weight class has operational consequences alongside any carrying benefit. Confirm whether the exact vehicle is in that category and obtain a completed weight schedule. Choosing a heavier version to meet payload does not automatically establish that every intended driver or journey is permitted.

Resolve the over-3,500kg rules before committing to a body

A Proace Max above 3,500kg may require different driving entitlement and operating arrangements from a lighter van. Driver licensing, goods vehicle operator licensing, drivers’ hours, tachograph use and road-tax class are separate checks. An exception under one system does not grant an exception under all of them.

Give the adviser the vehicle’s maximum authorised mass, trailer details, operating territory and whether goods are carried for your own business or for others. Electric-vehicle provisions and exemptions have conditions. Do not infer a general permission from the vehicle looking like a panel van or from a dealer describing it as straightforward to drive.

Proace Max tax follows the supplied weight and use

For a Proace Max meeting HMRC’s van definition, the standard 2026/27 taxable benefit for chargeable private availability is £4,170, with a separate £798 van fuel benefit where private fuel is provided. A qualifying zero-emission van has a nil cash equivalent, reported at 0% of £4,170. These are employee-benefit rules; they do not establish VAT recovery or the hirer’s accounting treatment.

The van definition includes a maximum design weight of 3,500kg. Do not automatically extend that employee-benefit calculation to a 4,250kg Proace Max Electric. Ask your accountant to establish the applicable treatment for the actual vehicle and use. Restricted private-use exemptions also require their own conditions to be met.

Check the tax position over the full agreement. Later cash upratings for 2027/28, 2028/29 and 2029/30 are not assumed here, and electric-car percentage tables should not be used as a van-benefit forecast. Tax and costs over the agreement

Vehicle Excise Duty (VED): the 2026/27 TC39 single annual payment is £360 for light goods vehicles registered from 1 March 2001 and no heavier than 3,500kg revenue weight, including electric vans. Expensive Car Supplement concerns the car-tax framework. Do not apply it to a Proace Max merely because the finished conversion has a substantial price. Check the completed vehicle’s goods classification rather than using a passenger-car threshold.

Planned eVED excludes vans and heavy goods vehicles at introduction in the government’s July 2026 response. The proposed electric-car mileage charge is therefore not a Proace Max assumption. VAT and business accounting

VAT on a Proace Max agreement depends on the taxable business use, any private element, the VAT scheme and the actual invoices. For capital allowances, have the completed vehicle and agreement assessed separately from employee-benefit treatment. The hirer does not become the owner merely by taking contract hire. Conversion expenditure also needs its own accounting advice. HMRC capital-allowance definitions.

For accounting periods beginning on or after 1 January 2026, revised FRS 102 generally requires a right-of-use asset and lease liability for lessees, including small companies using Section 1A. FRS 105 lease accounting for eligible micro-entities was not changed in the same way. Contract hire therefore does not universally keep a car off the balance sheet. Ask your accountant to apply the right framework; HMRC summarises the accounting standards.

Build the quotation around the way you will use it

Tell IVF your annual mileage, regular passengers, essential equipment, charging access where relevant and preferred timing. Ask for the precise model year, derivative, options and registration status to be written into the quotation. The catalogue is a starting point; the offered vehicle and funder terms need confirmation.

Business Contract Hire is taken by the business; Personal Contract Hire is taken by the private individual. Both are subject to status and individual funder criteria. Compare the initial rental, term, mileage, maintenance and applicable fees on the same basis. An initial rental is part of the hire cost, not refundable security or ownership equity.

A manufacturer warranty starts under the supplied vehicle’s warranty terms, normally from first registration. Its time and mileage limits may finish before your lease does. It is separate from optional servicing and tyre cover. Confirm maintenance inclusions, insurance responsibilities, tax provisions and early-termination terms before signing.

At the end of contract hire, return the vehicle; there is no contractual purchase option. Excess mileage, damage beyond the funder’s fair wear and tear standard, missing equipment or other contractual charges may still be payable. Check the return process before choosing your agreement.

Is Proace Max larger than Proace?

Proace Max is Toyota’s large commercial van, while Proace serves the medium-van role. Compare the actual load shape and weight before moving up. A larger body only helps if its access, carrying allowance and operating requirements suit the work.

Does Toyota offer an electric Proace Max?

Toyota UK lists battery-electric and diesel Proace Max versions at the September 2026 check. The captured IVF catalogue includes both. Confirm the exact electric model year, weight and current technical sheet, because the manufacturer documents examined do not agree on every electric detail.

Which panel body provides a 4,070mm load floor?

The UK L4 panel reference has a 4,070mm floor. The named L4H3 reference reaches 17m³. These are panel-van benchmarks, not the finished dimensions of a separate conversion; check the supplied body, lining and access openings.

Are electric versions all ordinary 3.5-tonne vans?

No such assumption is safe. Toyota’s original UK technical table includes electric panel references at 4,250kg. Confirm the actual maximum authorised mass and then assess driver entitlement, operator licensing, tachograph obligations, tax and any applicable exemptions.

What does Revised mean in the catalogue?

Does electric power mean no road tax?
